Who this policy covers

Opscoda provides customer-enquiry software to businesses. The business using Opscoda normally decides why its customer information is processed and acts as the data controller. Opscoda processes that information on the business's instructions.

Information we process

  • Account and workspace details such as names, email addresses and business settings.
  • Customer enquiry details such as names, contact details, message content and conversation history.
  • Business knowledge, services, opening hours, rules and approved receptionist content.
  • Security, audit, usage, billing and reliability records needed to operate the service.

Why we use information

We use information to authenticate users, receive and organise enquiries, prepare supervised replies, maintain customer memory, prevent abuse, support the service and meet legal obligations. Opscoda does not use customer enquiries to send autonomous replies.

Service providers and international processing

Opscoda may use vetted hosting, database, AI, monitoring, email-channel and payment providers. Their use depends on workspace configuration. We minimise data shared with each provider and keep credentials server-side.

Retention and security

We retain information only while needed for the service, legal obligations, security and dispute handling. Access is business-scoped, sensitive provider tokens are encrypted, and critical actions are audited. A detailed retention schedule is maintained in the product documentation.

Your rights

UK data protection law may give you rights to access, correct, erase, restrict or export personal information and to object to some processing. Workspace owners can export workspace data and request account deletion from their data controls. Customers should normally contact the business they messaged first.

Contact and complaints

Privacy requests can be raised through the workspace owner's Opscoda support contact. You may also complain to the UK Information Commissioner's Office if you believe your information has been handled unlawfully.
